Overview

Expensify gives accounting firms and their clients a shared place for expense reports, receipt capture and approvals. For a firm, the appeal is practical: clients can start on a free plan, then step up to a paid tier only when they need reimbursements, corporate card management or accounting sync. The vendor says SmartScan reads receipts with 99% accuracy and that its machine learning flags suspicious purchases, duplicate expenses and fake receipts in real time.

The free plan includes SmartScan, mileage tracking, expense reports, categories and tags, and support through an AI chat called Concierge, with a human on request. The Collect plan at $5 per member per month adds reimbursements, corporate card management, expense and travel approvals, travel booking, and sync with QuickBooks and Xero. The Control plan, priced from $9 per active member per month on an annual commitment, adds multiple approval flows, custom rules, budgeting, SAML/SSO, and connections to NetSuite, Sage Intacct, QuickBooks Desktop, Workday and Certinia. The vendor says annual commitment and card use can save up to 50%.

Expensify also issues the Expensify Card with unlimited physical and virtual cards, Smart Limits, 1% cash back on US purchases and 2% on monthly spend over $250,000. The card launched in the UK and EU in July 2026. Expensify positions the card as the client's spending tool, moving beyond expense tracking.

For accounting firms, the ExpensifyApproved! partner program is the main draw. Firms get partner pricing that the vendor says saves clients 50%, with clients billed only for active members and no annual commitment. The program includes a free partner account, a central dashboard to see all clients, revenue share on client card spend (US cards, USD) or the option to pass that cash back to clients, a free 2 to 3 hour certification course, a partner manager, early access and co-marketing.

Expensify works with the software firms already use: QuickBooks Online and Desktop, Xero, NetSuite, Sage Intacct, Microsoft Dynamics, Oracle, Certinia and Rillet; payroll and HR tools like ADP, Gusto, Paychex, Workday and BambooHR; and travel platforms like Egencia, Uber and Lyft. It runs on web, iOS and Android, supports 160+ currencies with automatic conversion, and is available in 11 languages. Pricing is in USD, GBP, AUD, NZD and EUR.

Support is chat-first: the Concierge AI is available 24/7, and a human can be requested, but there is no phone line. Security includes annual SOC 1 Type 2 and SOC 2 Type 2 audits and PCI DSS compliance.
